Supporting service: the build work behind the pathway

Smart System Implementations, Newcastle and the Hunter

Systems that know your business
and answer back.

A smart system is any part of your business where AI does real work: the AI already inside the software you pay for, assistants and voice agents connected to your data, or a full AI Operating System you can ask a question in plain English. We work out which one you need, then build it in layers so you see value early.

What counts as a smart system

From switching on what you already own, to a full AIOS

Most businesses do not need to start at the top. Often the first win is configuring the AI already sitting inside their job management or accounting software. Here is the range.

AI-enabled software you already pay for

ServiceM8, HubSpot, Xero, Microsoft 365, Google Workspace and most modern tools now ship with AI features. Most are switched off or half configured. We set them up properly for how your business runs.

Examples: Job management AI, CRM assistants, smart reconciliation, Copilot and Gemini inside your documents

Systems with AI supporting tools

Assistants, agents and automations layered over your existing systems: meeting notes that write themselves into the CRM, a voice agent that handles routine calls, a quoting assistant that drafts from your price book.

Examples: Claude and ChatGPT connected to your files, Make and Zapier automations, Vapi voice agents

AIOS: an AI Operating System

One place that knows your business, sees your numbers and lets you ask a question in plain English. Scheduled briefings instead of reports assembled by hand. This is NovoPro's flagship build, and you can try the demo.

Examples: Connected data, daily brief, plain English Q&A, task automation scoreboard

Custom builds, when nothing else fits

Where something is specific to your business, we design it and either build it or bring in our engineering partner, with an Australian-hosted option for data that needs to stay onshore.

Examples: Client portals, bespoke apps, integrations between systems that will not talk

Why it adds value

Why connect rather than replace

One trustworthy view of the business

The numbers live in your accounting software, your CRM, your job tool and a folder of spreadsheets. Smart systems bring them to one place so a question takes seconds, not two people and half a day.

Nothing gets ripped out

Your accounting software stays your accounting software. We build a layer above what you have, configure the AI already inside it, and connect the gaps.

Value at every layer

We build in layers (context, data, intelligence, automation, extension). Each one is useful on its own, so you see working software early rather than at the end.

This is for you if

  • You run the business on exports, spreadsheets and memory
  • Reporting takes days to assemble and is out of date by the time it lands
  • Your accounting software, CRM and job or project tools do not talk to each other
  • You have AI features in software you already pay for and nobody has switched them on
  • Decisions get made on "we think this is roughly right"
  • Board, bank or executive reporting is a scramble every single time
  • You are asked for a number and it takes two people half a day to find it

How an AIOS is built

Five layers, each useful on its own

This is the order we build in. You get value along the way rather than waiting until the end, and you can stop at any layer.

Context

The system learns your business first: what you do, how you are structured, what your terms mean, how you make decisions. This is the step that separates a system that understands your business from a generic tool that does not.

Data

We connect your existing systems so the numbers flow into one place automatically. Nothing gets replaced. Your accounting software stays your accounting software.

Intelligence

Once the data is connected, you can ask questions of it and get a scheduled briefing rather than digging for reports. This is usually the point where the difference becomes obvious.

Automation

With the foundations in place, the recurring work built on top of that data can be automated: the reports assembled by hand, the updates that get chased, the numbers that get re-keyed.

Extension

Whatever is specific to your business gets built once the rest is stable, rather than guessed at upfront.

What you walk away with

Connected data

Your existing systems feeding one place, automatically and on a schedule.

Plain English answers

Ask a question about your business and get a response, without building a report.

Scheduled briefings

The numbers that matter, delivered to you, rather than you going looking.

Documented architecture

A written record of how it is built, what connects to what, and where things live.

Handover and training

Your team taught how to use it, with documentation that outlives the project.

Australian hosting option

Where data residency matters, the system can be hosted in an Australian data centre.

Timeframe and investment

Configuring the AI inside software you already own can be done in days. A connected assistant or voice agent is usually two to six weeks. A full AIOS is typically six to twelve weeks, delivered in stages so you see working software early.

Each stage is scoped separately once we know what your data actually looks like, and most builds are first identified in an AI & Automation Audit or proven in a Working Session. There are also ongoing running costs for hosting and AI usage, which we set out transparently and separately. Many clients keep the system improving through the Fractional Chief AI Officer (CAIO) service after handover.

Common questions

No, and we would push back if you suggested it. The whole point is to connect what you already have. Your accounting software, CRM and job or project tools stay exactly where they are. We are building a layer above them, not a replacement for them.
