Time logged once, invoiced without retyping
record of time, from log to draft invoice
The Challenge
A technology business delivering work for several clients at once tracked time across a subscription project tool and spreadsheets, so every fortnightly invoice meant re-keying hours.
The Solution
We built a project and time system with task lists, time logs, billable flags and rolling totals, imported live project history, and connected it to Xero so checked time becomes draft invoices, with a helper that flags gaps between time logs.
The Outcome
Fortnightly billing now runs from one record of time, with draft invoices created in Xero instead of typed by hand.
The client
A technology business delivering hourly and project work for several clients at once.
The challenge
Client work was tracked in a subscription project tool, with time kept in spreadsheets as well. Every fortnightly invoice meant pulling hours together and typing them again, and busy multi-client days left unlogged gaps.
The approach
Keep the features the team actually used, drop the rest, and connect the system to accounting so time only needs entering once.
The solution
We built a project and time system with:
- Task lists, with time logged against each task
- Notes, start and end times and a billable flag on every entry
- Rolling totals across any date range for invoicing
- Live project history imported from the old tool
- A bridge that sends checked time to Xero as draft invoices
- A helper that flags same-day gaps between time logs, so billable time is not missed
The results
Fortnightly billing runs from a single record of time, without retyping hours.
